What We Collect

• Account Information: Your email address and name from Google Sign-In
• Usage Data: Number of credits used per month (to enforce limits)
• Tool inputs: The instructions, ensemble details, music, and documents you provide to use our tools
• Tool results and saved content: Generated materials, saved boards, document context, assignments, and anonymous-slot activity, depending on the features you use
• Anonymous game assignments: Individual questions, answers, correctness, and response or tap timing are retained and linked to the assignment link (anonymous slot) for rule-based formative feedback. This feedback does not use AI.
• Session Data: Information used to keep you signed in and maintain your current work

How We Use Your Data

• To authenticate you and manage your account
• To enforce usage limits (5 free credits per month for free accounts)
• To process your tool inputs and generate educational materials, as explained below
• To improve the service based on aggregate, anonymized usage patterns

How We Use AI

MusEdLab uses Anthropic's Claude through its commercial API to help create and organize teaching materials. When you use an AI feature, we send the relevant instructions and content to that API. Depending on the tool, this can include your ensemble context, typed descriptions, extracted document text, or sheet-music page images.

• Planning and music generators: Rehearsal Prep, Repertoire Finder, Lesson Plan, Warm-Up Generator, Practice Guide, Concert Program, Dynamic Map, and Tempo Map, including AI-assisted revisions and description-to-form helpers
• Learning activities: Quiz generation, practice-plan generation, sight-reading generation, and rhythm-exercise generation
• The Podium: Document parsing and Populate, Sub Plan generation from saved board content, and on-demand warm-up generation

Not used for model training by default: Anthropic states that inputs and outputs from its commercial API are not used to train its models by default. Its policy has exceptions when customers explicitly provide feedback or otherwise opt in to sharing data for training. See Anthropic's commercial-data training policy.

Deleted within 30 days by default: Anthropic normally deletes API inputs and outputs within 30 days. It may keep data longer for legal or safety reasons, or where a different agreement or service applies. See Anthropic's current retention policy for the exceptions. These rules are separate from how MusEdLab stores your saved materials.

Student information and AI

For teacher assignments, each answer, whether it was correct, and its response or tap timing are saved under an anonymous assignment link. Student names are not collected by these links. Feedback uses rules, not AI. Any future AI summaries would use anonymous numbers only, never student names or individual answers. Free-play feedback is calculated on your device and is not stored or sent to our servers. A browser timing calibration setting may stay on your device until you clear it.

Student-facing assignment links use anonymous slots rather than requiring student names. These link-based activities do not need a named student roster to generate AI materials. Teachers should keep any mapping between a slot and a student's identity outside the AI inputs.

MusEdLab includes automatic scrubbing for recognizable personal-information patterns in supported text-input paths, such as email addresses, phone numbers, addresses, and numeric student IDs. This is a limited safeguard, not a guarantee that every input is anonymous: it does not generally remove personal names, does not cover every saved note or upload path, and cannot be relied on to remove information visible in uploaded page images.

Please remove student names and other personal information before submitting text, uploading files, or asking AI to use saved board content. Information you include in those materials may be sent to Claude. Use anonymous labels instead, and review generated materials before sharing them with students.

Data Retention

• Temporary sheet-music processing files are removed after processing; this is separate from saved tool content and Anthropic's API retention
• Saved materials and Podium document context may remain available in your account after the original upload has been processed. Closing your browser does not delete saved content.
• Account data (email, usage count) is stored to manage your account
• For Anthropic's default API retention and its exceptions, see How We Use AI above
• An automated cleanup process runs hourly to remove any orphaned files

Third-Party Services

• Google: For sign-in and Google export features you choose to use
• Anthropic (Claude): Processes inputs for the AI features described in How We Use AI, under its commercial API policies
• Contacts provider: We may securely synchronize your account email address and name to a separate contact-management provider so we can manage communications. New provider contacts are subscribed by default. You can unsubscribe using the link in marketing emails; routine account synchronization preserves your existing subscription and unsubscribe preferences.

Your Responsibilities

• You are responsible for ensuring you own legal copies of any uploaded music
• We are not liable for copyright violations by users
• This tool is intended for personal educational use only

Data Security

• We use industry-standard security measures including HTTPS encryption
• Files are processed in isolated temporary storage
• Secure session management protects your account

Your Rights

• You can request deletion of your account and all associated data
• You can opt out at any time by simply not using the service
